Phoina Beauty Terms and Conditions
Introduction
By engaging with Phoina Beauty’s services, enrolling in training classes, or participating in any events or online courses, you, the client, agree to adhere to the terms and conditions outlined below. Phoina Beauty is based in Nairobi, Kenya, and operates under the Kenyan constitution.
Booking and Payment
Deposit Requirements: A booking is only confirmed upon receiving a 50% non-refundable deposit of the total service fee. Without this deposit, Phoina Beauty cannot hold or guarantee your requested date, which remains open to other clients until a deposit is received.
Full Payment: The remaining balance is due 14 days before the service date. Delays in payment may lead to automatic cancellation of your booking.
Refund Policy: All payments are non-refundable, especially for training classes (both in-person and online), where missed sessions will not be refunded or rescheduled unless due to circumstances covered under our force majeure clause.
Changes and Cancellations
Changes by Client: Any amendments to your booking, including service requirements, booking size, and timings, must be communicated as soon as possible. Changes are subject to availability and may incur additional fees.
Cancellations by Client:
Cancelling within three months of the scheduled date results in forfeiting 50% of the remaining balance.
Cancelling within one month of the scheduled date requires the full payment to be completed by the original due date.
All cancellations must be made solely by the client.
One-Time Date Change: In the event of unforeseen circumstances, we allow a one-time date change, subject to availability. This does not apply to missed training or online classes.
Force Majeure
In the rare case that Phoina Beauty cannot fulfill a service due to personal emergency, natural disaster, or severe illness, we will either arrange an alternative, highly recommended artist or refund 100% of any payments received.
Timings and Efficiency
Setup and Space Requirements: To ensure efficiency, we require a table/flat surface for setup and a stable chair (preferably with a backrest). Set up and pack up require 15 minutes each.
Service Duration: Hair and makeup services typically take 90 to 180 minutes after setup. Makeup application is recommended to begin once hair prep is complete.
Code of Conduct: Phoina Beauty reserves the right to refuse service if any client, bridal party member, or guest exhibits inappropriate behavior. In such cases, refunds will not be provided.
Training Classes
Class Attendance: Training classes, whether in-person or online, are non-refundable. Missed sessions cannot be rescheduled or refunded.
Online Classes: It is the client’s responsibility to ensure proper internet access and equipment. Phoina Beauty cannot be held accountable for client-side technical issues affecting class participation.
Travel and Accommodation
Travel Fees: Travel fees will be discussed at booking; any necessary changes will be communicated and reimbursed if applicable.
Early Morning Surcharge: Bookings starting before 7 am incur an additional KES 5,000 surcharge.
Accommodation Requirement: If the venue is more than a two-hour drive one way, or the service start time is at 6 am or earlier, accommodation may be required for the night before the service date.
Photography and Video Use
By engaging our services, you consent to Phoina Beauty using photographs and videos taken during the session for marketing purposes, including website and social media. If you prefer not to have images taken, please notify us in writing before your appointment.
Insurance
Phoina Beauty advises all clients, especially brides, to acquire comprehensive insurance to cover unexpected circumstances.
Privacy Policy
Phoina Beauty values your privacy and is committed to protecting your personal information. This policy explains how we collect, use, and protect any information you provide to us.
Data Collection: We collect personal information necessary for scheduling and providing our services, including name, contact information, and payment details.
Usage of Data: Personal data is used solely for booking management, service delivery, and communication regarding Phoina Beauty services.
Data Sharing: Your information will not be shared with third parties without your consent, except where required by law.
Data Security: We have implemented appropriate security measures to protect your data from unauthorized access.
